Your Welcome Guide: Where the Journey Begins

Once you’ve officially joined the Fantail family, you’ll receive your Welcome Guide, a beautifully crafted document that lays out everything you need to know about how we work together.

Think of it as your travel companion for the planning journey. It covers our process, what to expect at each milestone, how we communicate, and the rhythm of our work together. It’s the kind of resource you’ll want to revisit as the months unfold, and it sets the tone for the calm, considered experience ahead.

Your Private Planning Portal

Every couple receives access to their own private planning portal, your one-stop home for everything wedding-related.

Inside, you’ll find:

  • Your evolving wedding timeline
  • Vendor information and contracts
  • Mood boards and design inspiration
  • Budget tracking
  • Guest experience details
  • A running list of decisions made (and ones still to come)

No more digging through email chains or trying to remember which version of the timeline is the latest. Everything lives in one tidy, beautiful space, and you can pop in any time, day or night, from anywhere in the world.

Email Check-Ins 

We’re not big on cold, corporate emails. Our check-ins are warm, thoughtful, and timed to the natural ebb and flow of planning.

You’ll hear from us at every key milestone,  when a vendor is booked, when a decision needs your input, and when something delightful comes together. And because we work across time zones, our written updates are always crafted so you can read them with your morning coffee (or evening wine) without feeling rushed.

If something needs your attention, we’ll tell you exactly what, why, and by when. No guessing. No vague “let me know your thoughts” emails that leave you wondering what’s actually being asked.

Voice Notes: For the Little Things That Need a Human Voice

Sometimes a long email just doesn’t capture the warmth of a moment.

When we’ve just had a beautiful conversation with your florist, or when a new idea excites us, we’ll often send a voice note. It’s a small thing, but it makes the planning feel like a conversation, not a transaction. You get to hear the smile in our voice, the genuine excitement, and the care behind every decision.

Many of our couples tell us the voice notes are their favourite part. There’s something about hearing a real human voice that makes the distance disappear.

Loom Videos: A Walk-Through When Words Aren’t Enough

For bigger updates, like presenting your venue options, walking you through your design concept, or explaining a timeline shift, we record a Loom video to send prior to our Zoom meeting.

It’s like sitting beside us at the desk while we talk you through everything. You can pause, rewind, watch it together as a couple, and revisit it whenever you need a refresher. No scheduling around time zones. No frantic note-taking. Just a calm, clear, visual update on your terms. Then, when we meet on Zoom, our time is efficient.

Personal Calls When It Matters Most

Some moments deserve a real conversation.

Whether it’s our initial discovery call, a key design review, or simply a check-in when emotions are running high (planning a wedding is big!), we’ll always make space for a video call. We’ll work with your time zone, send a calendar invite well in advance, and come prepared so the conversation feels productive and connected.

This isn’t about packing your calendar with meetings. It’s about making sure the moments that need a human voice get one.
